How the money moves

Payments go through Stripe to your organization's bank account. You set this up once per organization.

Connecting your organization

BuPay doesn't store your bank details. Stripe handles identity and account checks.

  • An organization admin sets it up

    Start from Set up Stripe under Fees in the organization settings. Each organization has one connection, and payments from all its clubs and teams go through it.

  • Choose your business type

    Sole proprietor or unincorporated club, company, or non-profit. Each needs different documents.

  • Confirm, then register with Stripe

    Confirm the money is for the organization and won't be used to recover personal expenses or settle up between individuals. Identity checks and bank details are entered on Stripe's screen.

  • Stripe's status shows as not set up, in review or active

    BuPay's review status is shown separately from Stripe's. Members can pay once Stripe has enabled payments and BuPay has approved your organization. You can create teams and invite members before then.

Who sees what

  • Organization admin

    Financials shows invoices, membership fees, game charges and payouts, with CSV and freee exports and receipt downloads.

  • Club admin

    Sees fee and entry-fee lists for their clubs, each team's collections, and refund requests. Doesn't see payouts.

  • Manager

    Sees charges and collections on their team's Charges tab. Doesn't see payouts.

  • Player

    Sees only their own and their family's charges and receipts.

How members pay

Web

  1. Choose charges to pay from the team page or an email link.
  2. Choose a payment method on Stripe's checkout screen.
  3. Download a receipt once the payment is complete.

  2. Pick from Payment method and pay inside the app.
  3. Bank transfer opens in the browser.

  • Autopay

    Members save a card and pay automatically, set per team. It covers game charges, entry fees, membership fees and insurance premiums, but not equipment or other items.

    Tip: By default, clubs require a saved card to join a membership plan.

  • Paying together

    Members can select several charges and pay them in one payment. A plan and its add-ons are paid together.

  • Receipts

    Members can download a PDF receipt for each payment and a yearly statement.

  • Payment links (no account)

    Create a payment link from a game for guests or trial participants. They pay by card with no account.

Fees and refunds

  • Who pays the system fee

    Each organization chooses whether it pays or members pay on top. It can't be changed after the first payment.

  • Refunds

    Members can request a refund within 7 days of paying. A club or organization admin approves it. A denied request can't be resubmitted. The system fee isn't refunded.

* BuPay only collects insurance premiums. Your organization handles enrollment with the insurer.
