Create a game and send charges

Creating a game runs How and what, Opponent, Date & venue, Name & coach, Plans & fee, Participants and Charges. The opponent step only appears for a type with an opponent, such as an official or practice match, and the final charge step only when you set a fee. Participants you pick from the covered plans' members take part within their membership, and only the others are charged.

  1. Choose how and what

Press "Add game" on the team page, choose "Once-off" and pick a type. Below the types, a line such as "Practice match defaults" shows the duration, meet time and fee it fills in. Regular practices can be made with "Repeating": every week, every 2 weeks or monthly.

  2. Choose the opponent

Shown when the type has an opponent. Pick from recent opponents or search; if they don't use BuPay, use "Add external team". Types without an opponent, such as practice, skip this step.

  3. Enter the date and venue

The date starts on tomorrow. Enter the start, end, meet time and venue; typing "8" gives 08:00. The next step, Name & coach, takes a name and the coach (all optional).

  4. Choose plans and the fee

Pick the covered plans from cards, each tagged Standard, Everyone or Optional. Turn on "Charge a fee" to enter the per-person amount for members outside the covered plans.

  5. Pick the participants

With covered plans picked, only their members are listed and nobody starts selected. Tick the members taking part; they're marked as included and aren't charged. Without covered plans, everyone starts selected. "Ask who's coming" and "Trial OK" can be turned on here too.

  6. Set the charge

Shown when you set a fee. Check the split (evenly, per person or individually), amount, due date and item name. Included members aren't charged. Press "Create game and charge" to send it, or "Skip for now" to create just the game.

  7. See each member's status

Icons next to each name show their plan and insurance premium status. Hover for details.

  8. Done

You'll see that the game was created. Open it with "View game details". To collect from guests or trial visitors, use "Create a guest link".

  9. Track payments

The game page shows each member's payment status, updated automatically as they pay. If you're asking who's coming, the going, not going and no-reply counts appear here too.

  10. Create a guest payment link

Open "Guest link", check the per-person amount and press "Create payment link". Anyone, not just team members, can pay through it.

  11. Share the QR code

The link and QR code appear. Guests can pay without an account and are recorded as participants of the game.

FAQ

Are members notified when I create a game?

The members you pick as participants are notified when the game is created (asked to reply if attendance is on). They're notified about charges when the charges are created. You can create the game first and send charges later.

Do members who pay membership fees also pay game charges?

Members on one of the game's covered plans pay no charge for that game (covered). Only members outside the covered plans are charged.

Why is there no opponent step?

The opponent step only appears when you pick a type with an opponent, such as an official or practice match. Types like practice or an intra-squad game skip it, and organisations whose sport has no opponent (dojos, class-based sports, athletics, golf) never see it.
