Create and set up a club

A club groups teams, membership fees and club admins. Creating one runs through Fees, Entry fee & fees, Game fees, Options and Review, and the club is created when you press "Finish setup" on the last step. Entry fee & fees only appears if the club collects membership fees, and Game fees only if it collects per-game charges. Everything can be changed later on the club's tabs. Sports insurance is set for the organisation, not the club.

  1. Open Clubs

Open Clubs in the sidebar and press "Create club". The first club you made during setup is listed here too.

  2. Name the club and choose what it collects

On the Fees step, enter the club name and an optional logo, then choose what the club collects: membership fees, per-game charges, or both. Group teams the way they naturally belong together, such as juniors and seniors.

Tip: A club can't share its name with another club in the organisation.
  3. Choose the scope

The Entry fee & fees step starts with Scope at the top: shared across the club, or per team. Shared means a member in several teams still pays the entry fee and membership once.

Tip: Once members have been charged, the scope can't be changed.

  4. Set the entry fee and plans

On the same screen, turn on the entry fee and/or membership plans. The entry fee is at least ¥200. "Add plan" opens a panel for the kind (Everyone, Standard, Optional), interval (monthly, every 3 months, yearly), amount, scope and age range. This is also where you choose whether to require a saved card.

  5. Choose how game charges are split

If the club collects per-game charges, choose how they're split: split equally or per person. New teams start from this value.

Tip: Amounts are set per game type in the club's Team defaults.

  6. Choose options

Decide what managers may do and whether the member list is visible.

    • Managers can change the fee: on by default. When off, managers can only charge the fee set for the game type
    • Managers can waive members: off by default. While off, only club and organisation admins can waive
    • Hide the member list: when on, players only see the managers, their own profile and the head count
  7. Review and finish

Check the summary and press "Finish setup". The club is created at this point, together with its plans and defaults.

  8. Find your way around the club

The club page has Teams, Fees, Opponents, Admins, Website and Team defaults tabs. Everything you chose while creating it can be changed here. The Website tab manages the club's free website and its trial and join applications (forms and inbox).

  9. Create a team

On the Teams tab, press "Create team" and enter its name and logo.

  10. Check the team settings

The club's defaults (how charges are split, manager settings) are already filled in, so you can just press "Save Settings". Change anything that should differ for this team.

  11. The team is added

The new team appears in the club. You invite members from each team.

  12. Change team defaults and permissions

The Team defaults tab lets you change the defaults and permissions later. It's also where each game type's duration, meeting time, fee, eligible plans and calendar colour live.

Tip: Per-type settings apply to every team in the club unless a team changes them. Permissions, roster visibility and the card requirement also apply to existing teams right away. Only the split and the manager payment exclusion apply just to teams created afterwards.

  13. Invite club admins

On the Admins tab, "Invite Admin" gives you an invite code, a QR code and a link. Share them with the people who run the club with you.

FAQ

What's the difference between a club admin and an organisation admin?

Organisation admins manage every club and team in the organisation, and set up sports insurance. Club admins manage only the clubs they were invited to (their teams, fees and games).

What if I leave the wizard partway?

The club is only created when you press "Finish setup" on the last step, together with its plans and defaults. If you leave before that, nothing is saved and no club is created. Start again from "Create club".

Do game charges need a membership plan?

No. Plans are for yearly or monthly fees. Teams can create game charges without any plan. Set a fee per game type in Team defaults and it's filled in when you create an event.
