Create and set up your organisation

The first screen explains what an organisation is and what you'll set up (it takes 5–10 minutes). Press "Create organisation" to begin. If a manager gave you an invite code, use "Invited to a team?" below instead. You don't need to create an organisation.

This is setup step 1, Organization. The organisation is the top-level account that holds your clubs, teams, members and money. Enter its name, optionally add a logo, and press "Next".

Pick your organisation's sport. It sets the wording used across BuPay and whether games have an opponent.

If you collect your organisation's sports insurance premiums through BuPay, turn on "Enable insurance" and enter the insurer or policy name, the fiscal-year start month and the renewal billing month. The premium table starts empty: use "Add band" to enter the bands and premiums from your policy's rate table (ages 0–120, no gaps or overlaps). You can add a link or PDF of the application form. Finally, tick "Our organization enrols with the insurer and pays the premiums to the insurer. BuPay only collects the premiums." and press "Create Organization".

Once the organisation is created, the Platform fee screen opens. Choose who pays the per-payment fee, "Organization pays" (the default) or "Members pay", and press "Save and continue".

Setup moves on to phase 2, Club and team. Enter the club's name and logo, choose what it collects (membership fees, per-game charges) and continue. A club with per-game charges only skips the three entry-fee and plan screens and goes straight to the team.

Choose whether to charge a one-off entry fee when someone first joins the club. If you charge one, enter at least ¥200. Joining another team in the same club never charges it again.

Membership fees are built from three plan types. Then press "Create your first plan".

• Standard: the main fee. Each member picks exactly one
• Everyone: charged automatically to everyone in the club, same amount
• Optional: only members who want it add it

Create one standard plan for members to pick when they join: name, interval (monthly, every 3 months, yearly), amount and age range, then press "Add plan". The right-hand side previews what a member pays. You can add more standard, Everyone or Optional plans straight away. Then press "Next: first team".

Enter the team name and an optional logo, then press "Create team". Members and the schedule are managed per team.

Pick the types your club uses, such as practice or official games. "Add your own type" creates one of your own. The next screen shows each type's duration, meeting time, calendar colour and cost (included in the fee, or a charge per event).

Choose "One-off" or "Every week", then the type. For a weekly schedule, enter the weekday, start time, first date, venue and eligible plans, then press "Create schedule" on the next screen. The next four dates are always created for you.

"Your club and team are ready" lists the fees, event types and first schedule. Use "Edit" to go back and change anything, then press "Next: invite members".

This is phase 3, Members. Your team's QR code is shown: members and parents scan it in the BuPay app to join, and everyone who joins appears on this screen. To do this later, press "Invite later".

This is phase 4, Website. "Create one for free" builds a club website from the schedule, fees and trial details you've entered. Write "About us" (required, at least 40 characters) and press "Create and continue" to publish it. If you already have a site, choose "I already have a website" and enter its URL.

The dashboard's "Let's finish setting up" panel shows your progress (for example "Setup 3 / 5") with five rows: Organization, Club and team, Members, Website and Receiving payouts. Anything you skipped can be picked up again with "Resume".
